In the SETTINGS module under the LOTTERY tab you will see a series of accept / decline settings available for your management. (Note: The difference between these settings and the Lottery Execution settings is the Lottery Execution settings happen while the lottery is run and is based on where the student is placed. The Accept/Decline Placement settings happen only if the student accepts a placement after being placed on the offered list.)
Allow parents to accept/decline seats from dashboard
If this setting is checked, parents will be able to see ACCEPT / DECLINE buttons on their parent dashboard for any application that is on the offered list.
Auto-decline accepted applications if no response after X days from notification - or - on X date
If this settings is checked it will allow the system to automatically decline any applications on the offered list that are still in the pending status (applications that have not had their seat accepted or declined) based on a specific date or timeline. The admin will have the option to enter in 1 of 2 date options described below:
- No Response after X days from notification - If this option is used, the admin will have to set the number of days from the date that the lottery results email was sent out. Once this number of days is surpassed the application would be auto-declined. Please note that this number of day setting is based on business days and the auto-decline happens at 1am within your specific timezone on the final day.
- No response by X Date - If this option is used, the admin will have to set the actual date deadline using a date picker. Once this date is surpassed, the application would be auto-declined. Please note that the auto-decline happens at 1am within your specific timezone on the date noted.
Selecting Global, By Form Process, or By Program Category (Setting in our Laravel Systems only)
This setting is to determine how the following auto-decline settings will be used.
- If Global is selected, the auto-decline settings will be used on all of the student's choices across form processes. This means that if the system uses multiple different types of application processes, the system could auto-decline all choices when a student accepts a seat. For example, if the student accepts their 2nd choice in the Magnet application process, their offered and wait listed applications could be auto-declined in the Transfer application process (based on the settings enabled).
- If By Form Process is selected, the auto-decline settings will be used on all of the student's choices in the same application process as the accepted choice. For example, if the student accepts their 2nd choice in the Magnet application process, their offered and wait listed applications in the Magnet application process could be auto-declined (based on the settings enabled). The Transfer application process would not be affected.
- If By Program Category is selected, the auto-decline settings will be used on only the same program category as the accepted choice. If the Magnet application process has two program categories (for example, charter schools and district schools), then the accepted choice will only affect other programs in it's category. For example, if the student applies to 3 charter schools and 3 district schools and accepts placement to 1 charter school, all of the charter school choices could be auto-declined (based on the settings enabled). The district school choices would not be affected.
Auto-decline student's other applications on selected list upon accepting seat into another choice
If the student has more than 1 application on the offered list, if this setting is checked, when they accept the seat at Program A then all other offered list applications for other programs will be automatically declined. This setting being checked restricts the students from being able to accept seats in multiple schools / programs.
Auto-decline student's applications on waiting list ranked as lower choice upon accepting seat into higher ranked choice
If the student has an application on the offered list at their 2nd choice and this setting is checked off, it would remove them from their 3rd choice waiting list space upon accepting the seat in the 2nd choice program. The logic is that if the parent is offered their higher ranked choice and accept their seat, then they are most likely not going to want to continue to be on a waiting list for a school they ranked lower.
Auto-decline student's applications on waiting list ranked as higher choice upon accepting seat into lower ranked choice
If the student has an application on the waiting list for their 1st choice and an application on the offered list at their 2nd choice, if this setting is checked, it would remove them from their 1st choice waiting list space upon accepting the seat in the 2nd choice program.
NOTE - NORMALLY THIS IS LEFT UNCHECKED AS MOST SCHOOLS/DISTRICTS WANT THE PARENT TO HAVE THE OPTION TO CONTINUE TO REMAIN ON THE 1ST OR HIGHER RANKED WAITING LISTS IN THE HOPES THAT AN OPENING BECOMES AVAILABLE.
